How do we run fair transport to France?
The starting point is the date and time your stand is built. From there we work backwards to the loading moment in Poland, so the build and exhibits reach the hall in the agreed window, neither too early nor too late. The longer run to Paris or Lyon is planned with a margin, and for tight dates we double-man the vehicle so it can run without a rest break.
Access to the fairground runs on slots. We book the unloading in for a specific time, track the gate number and zone, and the driver reports in line with the venue rules. On top of that come the dimensions: stand parts are often long or tall, so we match the trailer to the size of the load. If you are carrying material covered by ADR (dangerous goods, for example some liquids or batteries for the stand), tell us straight away and we will supply a properly equipped vehicle and a certified driver.
Empty packaging and the return after breakdown
Once unloaded, empty crates, cases and pallets cannot stay on the stand, because they have to wait somewhere for the duration of the fair. We arrange storage of empty packaging next to the hall, so that after the event it comes back exactly where it is needed to pack the exhibits up.
Breakdown is often the hardest moment: everyone packs at once and the departure windows are short. We bring the vehicle in at the agreed collection time, load the dismantled stand and return it to Poland or on to the next event. We plan the return as carefully as the delivery, because fair equipment usually heads straight to the next show.
Build crews and the schedule
The stand has to be at the hall exactly when the build crew is working, not earlier and not later. We coordinate delivery with the fitters' schedule and, where needed, we also carry the build crew itself to site. One point of contact holds a consistent plan: when the build arrives, when the people work and when the empty packaging leaves.

Step by step
- Confirm build-up dates. Check the fair organiser's schedule in France and set the precise delivery date and time.
- Book the unloading slot. Register the vehicle in the exhibition centre's booking-in system to secure an official access window.
- Pack and secure the cargo. Prepare booth structures and exhibits for safe road transport using pallets or crates.
- Execute fairground delivery. The driver arrives at the French exhibition venue strictly within the allocated time window to hand over materials.
- Arrange post-event collection. Schedule the return haulage of stand components immediately after breakdown completes.

- Booking-in slot: An agreed time window for a vehicle to enter the exhibition grounds for stand build-up or breakdown.
- Direct transport: Carriage organised exclusively for your goods in one vehicle, without consolidation with other freight.
- Unloading window: A fixed timeframe during which the lorry must check in at the fairgrounds and start offloading.
- Exhibition stand builds: Structural elements, furniture, and display materials used to create an event booth.
When does this rule not apply?
The standard process without customs clearance does not apply if goods originate from outside the European Union or are transported under special customs regimes. In such cases, full customs procedures depend on the origin and nature of the exhibits.
