Who unloads your stand at a trade show: you, your forwarder or the official one

At some shows in-hall handling is exclusive to the official show forwarder. That changes the delivery plan and the price. How to check what applies to yours.

European shows run one of three models: self-unloading at the stand (cheapest, needs a tail lift or forklift), unloading by your own forwarder driving onto the site, or exclusivity of the official show forwarder, to whom the load must be handed over at the gate. The model is set by the regulations of the specific event, not by industry custom — and it must be checked before quoting, because the handling cost difference can exceed the freight itself.

The official show forwarder is a company appointed by the organiser with exclusivity on handling inside the venue: unloading, internal movement, forklift and crane work, and empty packaging storage.

How to check

It is in the exhibitor documentation: the exhibitor manual, technical guidelines or event technical regulations. Look for sections on freight, forwarding, handling or materials handling. If one company is named with a per-tonne tariff, that means exclusivity.

Why it must be known before quoting

Under official exclusivity the charge is usually by weight or volume with a minimum. A heavy stand build can cost more in in-hall handling than the transport from Poland. If the quote does not account for it, the difference appears only on the post-show invoice.

What does not change in any model

  • Booking-in and a time slot are always required.
  • The stand number must be on the documents and on the load units.
  • Empty packaging has to be stored somewhere for the duration — it cannot stay in the hall.
  • The return after dismantling follows the same organisational model as the delivery.

Where does exclusivity come from?

The organiser is responsible for safety and throughput of the venue during build-up. Limiting the number of firms operating forklifts and cranes inside simplifies traffic management and insurance. For the exhibitor it means less choice, but also a clear split of liability: damage during in-hall unloading sits with whoever performed it.

How is the tariff calculated?

Under exclusivity the charge is usually by weight or volume, with a minimum and often split into stages: unloading at the gate, internal movement to the stand, empty packaging storage, its release after the show and reloading. Ask for the full price list rather than just the per-tonne rate, because the sum of items can be double the first impression.

Three questions worth asking early

  1. May the exhibitor unload their own vehicle at the stand, or only at the gate?
  2. Does the handling tariff cover the return after dismantling, or is that separate?
  3. Is empty packaging storage included, or charged per item or cubic metre?

Effect on vehicle choice

The organisational model translates directly into which vehicle makes sense. With self-unloading at the stand a tail-lift rigid is the most convenient, because it does not depend on forklift availability inside. Under exclusivity with handover at the gate, what counts most is punctuality and clearing the space quickly, because a queue is waiting behind.

Definitions

  • Self-unloading: A delivery method where the vehicle driver unloads the freight directly at the stand using a tail lift or forklift.
  • External forwarder: A freight forwarder who enters the exhibition venue to deliver goods after paying the required entry fee.
  • Official show forwarder: A company appointed by the event organiser with exclusive rights to perform handling and internal logistics.
  • Empty packaging storage: The service of storing transport crates and packaging at the venue for the duration of the event.

When does this rule not apply?

The obligation to hand over freight to the official show forwarder at the gate does not apply when venue regulations permit external vehicles and drivers to drive directly to the stand for self-unloading.
