Ferry booking

Ferry slot and GMR reference ready before the truck reaches the port. Without a valid GMR the driver will not board a ferry to the UK.

Ferry booking at OTSL is slot reservation on ferry and Eurotunnel crossings for trailers, road trains and vans, tied to border document preparation. It is for companies moving goods on the EU-United Kingdom route and to Scandinavia that want the slot, the GMR reference and customs joined into one movement before the truck heads for the port.

Ferry booking is the reservation of space on a specific crossing (ferry or Eurotunnel) for a commercial vehicle, together with the border reference required to board.

What it covers

  • Slot reservation on Dover-Calais, Dunkirk-Dover and the Eurotunnel (Coquelles-Folkestone)
  • Booking to east coast England ports when the route or load calls for it
  • Scandinavian ferry reservations from Baltic ports (Sweden, Denmark) for onward distribution
  • GMR reference prepared in the GVMS system for the driver
  • Vehicle list and manifest required by the ferry operator
  • Coordination of the slot with export and import customs clearance
  • Matching the crossing window to the delivery booking-in slot in the UK
  • Contact with the driver and rebooking when loading runs late

How we do it

We start from the route and the unloading date, not from the ferry itself. We know when the vehicle is due at the consignee, so we pick the crossing and window so the driver does not sit idle on either side of the Channel. Only then do we lock the slot with the operator.

In parallel we prepare the border side. Customs declarations are linked in GVMS to generate the GMR reference, without which the driver will not board a ferry to the United Kingdom. The driver receives the reference and the vehicle list before reaching the port, not in the queue at the gate.

If loading slips or the operator reschedules, we amend the booking and make sure the border documents still match the vehicle and the cargo. One person runs the slot, the clearance and the driver, so information does not fall between companies.

Limits of the service (what it does NOT cover / what to know)

We reserve the crossing and prepare the documents, but boarding and border checks are decided by the ferry operator and the authorities, under the rules published by the UK government on GOV.UK. Cancelled sailings in a storm and peak-season queues are carriage risk, not our error. The stake is simple: a wrong vehicle list or a missing valid GMR means a turn-back at the gate, a lost slot and a delivery pushed to the next sailing, which on time-critical cargo is a real loss. That is why we close the documents before the port, not at the last minute.

We run this service end to end: from the truck arriving, through the paperwork, to unloading at the consignee. You talk to one account manager. They own the whole route and hold the deadline, even when the plan changes.

How we run it

  1. 01

    We pick the crossing

Operator, time and crossing type for the deadline and cargo, including ADR.

  2. 02

    We book and notify

Booking the slot and the required cargo notifications for the ferry or tunnel.

  3. 03

We tie it into the route

The crossing built into the whole haul, so the truck doesn't wait on the wrong side of the Channel.

Frequently asked questions

What does ferry booking at OTSL cover?
Booking sea crossings for trailers and vans, plus full post-Brexit handling on the EU to UK route. As a standard we run the Dunkirk to Dover crossing: we book the ferry slot, prepare GMR/GVMS documents for the driver and coordinate the whole process with customs clearance, so the driver reaches the terminal with a complete set of formalities.
What is GMR and why do you prepare it?
GMR is the goods movement reference required in the British GVMS system, linking the customs declarations for the loads in a given vehicle before the crossing. We prepare the GMR for the driver, so that boarding the ferry and a smooth border passage can take place. You can read more about border documents in our knowledge base on transport to the UK.
Do you organise the customs clearance for the ferry booking yourselves?
Yes. We coordinate the ferry booking with customs clearance, so that the slot reservation and the border documents are created in one process, not separately. We have our own customs agencies in Poland and the United Kingdom, so we prepare and supervise the import and export documents within the same order, without passing the client between companies.
Which ferry crossing do you handle as a standard?
As a standard we run the Dunkirk to Dover crossing, linking the continent with southern England. We book the slot, adjust the date to the rest of the carriage and prepare the documents so the driver boards the ferry without delays. Other crossings we match to the specific route and date, once the loading and unloading points are set.
