Step by step
- Plan the schedule. Check the exact dates and hall access times specified by the event organiser.
- Book the delivery slot. Arrange a precise time window for truck arrival and hall unloading.
- Prepare customs documents. Obtain an ATA Carnet if you transport exhibits outside the European Union.
- Label and secure cargo. Pack stand elements securely and mark all pallets with your stand number.
- Use buffer storage. Dispatch cargo early to a handling warehouse to prevent delays on assembly day.

- Delivery slot booking: Scheduling a precise time slot with the venue to unload trade fair goods.
- Assembly window: The timeframe designated by event organisers to deliver and construct the exhibition stand.
- ATA Carnet (Admission Temporaire/Temporary Admission): An international customs document allowing duty-free temporary export of exhibits and equipment.
- Groupage (LTL): The transport of smaller exhibition consignments combined on a single vehicle.
- Out-of-gauge load: Trade fair cargo that exceeds standard trailer dimensions or weight limits.
When does this rule not apply?
The standard customs clearance and delivery scheduling rules do not apply to shipments moved strictly within the European Union, unless the cargo includes goods subject to specific veterinary or sanitary controls.
